Privacy Policy
User Information to be Acquired
The Operator may acquire from the user(s) (the "User(s)") the following information (the "User Information"):
- Name (including nicknames and pen names)
- E-mail address
- Photos, videos, and audio data
- Transcription and structured data generated from audio
- Information regarding means of payment of the Users, such as credit card, bank accounts or electronic money
- ID used by the Users for external services or any other information which the Users authorize the service providers of such external services to disclose by privacy settings of such external services
- Identification information generated by using cookies (used for traffic analysis by Google Analytics and authentication session management by Clerk)
- Information regarding the OS and the terminal used by the User, such as ID generated by the OS, the type of the terminal, and the terminal identifier
- History of the Users' activities on the Operator's website, such as time spent on the Operator's website, input history, and purchase history
- Usage history of the Operator's applications such as startup time, input history, and purchase history of the Operator's applications
- Location information of the Users
Purpose of Use of User Information
The Operator uses User Information for the following purposes:
- to register or verify the User's identity and authenticate with the Operator's services (the "Services")
- to perform AI-powered audio transcription and structured data processing
- to provide data to external services or AI agents via API
- to manage the User's usage history of the Services
- to settle usage fees
- to analyze the User's activity history in the Services to maintain and improve the Services
- for market analysis and marketing
- to inform the User of the Services
- to respond to the User's inquiries
- to correspond to actions that violate the Operator's terms and conditions, laws and regulations
- to inform the User of changes to, discontinuance of, termination of, or cancellation of the Services
- to inform the changes etc. to the Operator's terms and conditions
- to produce anonymously processed information
- any other act to provide, maintain, protect and improve the Services
Security Measures
With respect to the security measures taken by the Operator for the information acquired from the Users, the Operator will respond individually in accordance with applicable laws and regulations upon request to the contact information provided at the end of this policy.
Third Party Provision
The Operator will not provide any information collected from the Users that constitutes personal data (Article 16, Paragraph (3) of Act on the Protection of Personal Information) to any third party (including anyone outside Japan) without obtaining in advance the Users' consent. However, this shall not apply in the following cases:
- if the Operator outsources the handling of personal data (examples of service providers: Clerk (authentication), Stripe (payment processing), Google Cloud (infrastructure), Neon (database), etc.)
- if the Operator or the Services are acquired
- if the Operator jointly uses personal data with its business partner (if there is a specific joint use, the details will be announced separately.)
- any other cases in which provision of personal data to a third party is permitted by law
Access Analysis Tools
The Operator uses "Google Analytics" to analyze the User's access. Google Analytics uses cookies to collect traffic data. Traffic data is collected anonymously and is not personally identifiable. International Data Transfer
The Operator handles the Users' information as follows for the purpose of providing the Services:
- Users in Japan: Audio data is uploaded to the Google Cloud environment in Japan and then transferred to the US environment for processing.
- Users outside Japan: Audio data is processed and stored in the Google Cloud environment in the United States.
- The database is hosted in the United States.
Anonymously Processed Information
The Operator may process the Users' information to create anonymously processed information in accordance with the Act on the Protection of Personal Information. Anonymously processed information is information that has been processed so that specific individuals cannot be identified, and is used for the purpose of improving the Services and statistical analysis.
Data Retention and Deletion
The Operator retains and deletes the Users' data as follows:
- Audio data: Automatically deleted within one (1) day after processing.
- Transcription and structured data: Deleted when the User manually deletes it or thirty (30) days after account deletion.
- Account deletion: Users may delete their account from the settings within the Services. After account deletion, data that has exceeded the retention period described above will be permanently deleted.
Amendment to Privacy Policy
The Operator will amend this Privacy Policy as necessary. In such case, the Operator will announce or notify, in an appropriate manner, the timing when the amended Privacy Policy will be enforced and the contents thereof.
Language
This Privacy Policy is provided in Japanese and English. In the event of any discrepancy between the two versions, the Japanese version shall prevail.
Governing Law
This Privacy Policy shall be construed in accordance with the Act on the Protection of Personal Information of Japan.

In such a case, we will confirm that such request was made by the person himself/herself by means designated by the Operator. Requests for disclosure of information, whether such information will be disclosed or not, are subject to a processing fee of 1,000 yen per case at the time of application.
